Faculty at Rohtak PGIMS told to submit reports after meetings

In a bid to strengthen communication and administrative efficiency, authorities at Pt BD Sharma Post Graduate Institute of Medical Sciences (PGIMS), Rohtak, have issued a new directive requiring all faculty members and officers deputed for official meetings outside the campus to submit detailed reports of the discussions and decisions to the Director’s office.

The move comes after repeated instances where officials failed to share outcomes of important meetings with senior PGIMS administrators. According to sources, the directive was triggered by a recent incident in which a PGIMS official, acting on instructions from the state government, attended a district-level meeting but did not brief institute authorities about the deliberations. This lapse reportedly led to confusion and lack of follow-up on key issues.

“PGIMS officials often attend meetings related to purchases, medical facilities, policy implementation, and service matters. When a different official is sent to a follow-up meeting, the absence of a proper report creates inconvenience and delays decision-making,” said a PGIMS official.

To plug this gap, PGIMS Director Prof SK Singhal has made it compulsory for deputed personnel to file written reports after attending any official meeting, whether it is in-person, online, or conducted in a hybrid format.

The directive underlines the importance of accurate and timely updates to maintain administrative continuity and ensure that higher authorities are always kept in the loop. “Timely and accurate updates will not only enhance internal coordination but also reinforce the institute’s credibility in inter-departmental and inter-governmental dealings,” the official added, noting that compliance will be monitored.

Confirming the directive, Prof Singhal emphasised that this step is essential for better institutional governance. “Effective governance in a medical institution depends on timely communication and accountability. By mandating meeting reports, we aim to build a culture of transparency and continuity that ultimately enhances patient care, policy execution, and institutional credibility,” he said.
